Can I use scheduling now?
Yes, through early access. We are inviting teams in small groups. Book a call and we will switch it on for your organisation.
Does it work with my existing calendar?
Yes. Connect Google, Microsoft 365, Outlook, Exchange or iCloud, and it reads your real availability, so participants only see times you can actually do.
Which video tools does it support?
Google Meet and Microsoft Teams. The link is attached to the invite automatically, so nobody has to go looking for it.
What if a participant needs to move their session?
They reschedule or cancel themselves, from the same link they booked with. Your calendar and your project dashboard both update without you doing anything.
Can I stop people booking at the last minute?
Yes. Set a minimum notice period so nobody can book you for ten minutes' time, and add buffers before and after sessions to protect prep and wrap-up.
Does scheduling cost extra?
No. It is part of Participant Kit, on the plan you already have. No separate licence, no per-seat add-on, no second invoice.
Where is the scheduling data stored?
By default, your data is stored and processed within the EU, the same as everything else in Participant Kit. A small number of our sub-processors operate in the US, and where they do, those transfers are covered by the safeguards set out in our sub-processors policy.
We can't use Calendly because the data sits in the US. Does this solve that?
Yes, and that is most of the reason it exists. Calendly stores its data in US data centres and covers European transfers with standard contractual clauses, which is the sticking point for a lot of research teams. Booking here adds no vendor, no sub-processor and no second agreement, and your participants' data stays in the EU. If you are already using Calendly and it works for you, our integration is still there and still supported. This is for the teams who can't.
